Job Description

An expanding global media company is currently looking for an Italian speaking Office Manager based here within the UK. As a personal assistant to the Senior Finance Manager this is an exciting opportunity for the right candidate to make an impression on this expanding brand and ample room for progression.

Main Duties:

• Managing FM’s diary, travel arrangements, meeting itineraries, emails and any other private matters as required.
• Main liaison and coordinator for foreign employee accommodation and lease vehicles including payments, vehicle and home maintenance
• Responsible for managing the initial set up of the inaugural office in London
• Coordinated office move to larger office space – including budgets and plans, interior design bids and securing new office location and lease
• Month End Reporting for head office – Profit and loss accounts, balance sheet figure reports, asset depreciation, cheque account reconciliation and monthly trial balance
• Monthly budget management and requesting funds from Head Office
• VAT returns
• Filing the necessary reports with Companies house and maintaining the business details through correct procedures.
• AP/AR duties
• Weekly payment runs using CitiBank Direct
• Monthly credit card reconciliations and payments
• Responsible for office HR functions for UK and Foreign employees – Yearly Passport & Visa checks, absence records, maintenance of personal HR folders and database
• Visa Applications for foreign employees
• Maintaining the Company’s information with Companies house, UKBA and HMRC for Corporate tax status
• Reports and presentations as required by head office of Senior Finance manager
• Ad hoc office duties
